Registration Guidelines

How to register

  • All registrations must be made through the Online Registration Portal.
  • First, create an account. After that, sign in to finish your registration.
  • When registering for someone else, create an account with your details and enter the delegate’s information (with their consent).
  • We recommend using a personal email address to avoid delivery issues.
  • Additional items (e.g., social events or tours) can be added during the initial registration process or later to an existing registration via Manage Registration → Edit Registration.
  • A confirmation email with your registration number will be sent after submission.

Registration Fees

If your payment is not received promptly, the late fee will be automatically applied. Unpaid or partially paid registrations will not be considered valid until paid in full.

All registration deadlines are based on the local time JST – Japan Standard Time /UTC +9

* IPNA Members and IPNA Emeritus Members require a valid membership at the time of registration and Congress to receive the reduced rate offered to members. Be sure to check your membership validity via theIPNA website 

**Non-members may wish to consider becoming IPNA members and paying the reduced registration fees. Please note that if a participant registers as a non-member and subsequently purchases IPNA membership, the difference in registration fees will not be refunded; therefore, membership must be obtained before registration to benefit from the reduced fee. All non-members who pay and register for Congress will automatically become IPNA Members and receive all the IPNA membership benefits by the end of 2027. 

*** All Students, Trainees, Allied Health Professionals, and Nurses – This category requires a proof-of-status document. STUDENT: copy of student card/copy of student declaration-book, or official letter from your university. ALLIED HEALTH PROFESSIONAL: official document from an IPNA member in your department.

****** One-day registration – A delegate may purchase the One-day registration for only one single day in the congress.

 *Lunch is not included in the registration fee. Lunches will be provided to those who attend the luncheon seminars sponsored by our industry partners during their sessions. Participants who choose not to attend are kindly asked to make their own arrangements. 

Pre-Congress Course Fee Includes:

Payment

CZECH-IN s.r.o., 5. května 65, CZ-14021 Prague 4, Czech Republic collects registration fees on behalf of IPNA

All fees will be paid in United States Dollars (USD), free of all bank charges. However, please confirm with your bank any possible charges from their side.

Online Payment by Credit/Debit Card

The preferred method of payment is payment by card online via our secure payment gateway:

  • Online payments Solution Saferpay
  • Provided by – WORLDLINE.
  • Accepted Credit / Debit Cards: Visa, Visa Electron, MasterCard, American Express

If an online card payment is rejected, please retrieve it via the registration form or contact your card issuer/bank.

By Bank Transfer

Bank transfer payments must be free of all bank fees and include the participant’s name and Registration Number.

Payment by bank transfer is available until 8 February 2027. After this date, all payments can only be made by credit/debit card.


Invoice

An advance (proforma) invoice/Call for payment is issued only upon email request.

The final invoice can be downloaded from the Online portal. The final invoice will be issued based on the details provided during the registration process (step Contact/Invoice details)

Any change of such details (name, address, VAT number, etc.) is possible and is subject to a 20 USD fee.


Cancellation/Refund Policy

Cancellation of Registration

The following cancellation charges apply:

  • Until 9 September 2026, a 50 USD administrative fee will be applied.
  • From 10 Sep 2026 until 9 Nov 2026, a 30% cancellation fee will apply.
  • From 10 Nov 2026 until 9 Jan 2026, a 50% cancellation fee will apply.
  • From 10 Jan until 8 Feb 2026, a 70% cancellation fee will apply.
  • From 9 Feb 2027 onwards, a 100% cancellation fee will be applied.

It is possible to change the name/contact of the registered participant. This change is subject to an administrative fee of 20 USD.

Cancellation of Other Bookable Items (Payable Social Event)

  • Until 8 Feb 2027 – a 20 USD administrative fee will be deducted.
  • From 9 Feb 2027, no refund can be processed.

General Cancellation Conditions

  • All cancellations must be notified in writing (by email) to the Secretariat.
  • Requests for refunds made after 9 Feb 2027 will not be considered.
  • For any change of name, a fee of 20 USD will be charged.

Invitation Letter

Delegates can download their Invitation letter from their account on the Online Portal once their registration is paid in full.

Certificate of Attendance

The Certificate of Attendance will be available for download in the Online Portal after the Congress for all participating delegates.

Insurance

The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.

Cancellation or Modification of the Meeting Due to Force Majeure

In the event of a force majeure situation, CZECH-IN s.r.o. reserves the right to alter or cancel the meeting without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the time. Force majeure includes any circumstance beyond the reasonable control of CZECH-IN s.r.o., which prevents or impedes the realization of the meeting. This includes but is not limited to government action, war or hostilities, riot or civil commotion, plague, or other epidemic such as SARS, Covid-19, bird flu, earthquake, flood, hurricane, cyclone, fire, or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation, or terrorism. CZECH-IN s.r.o. shall not be liable for any direct or indirect, incidental, consequential, punitive, or exemplary damages, losses, expenditures, or any other inconveniences or costs caused by such modification or cancellation of the meeting. Unless provided otherwise by the applicable mandatory laws, the registration fees will be reimbursed by the IPNA Congress cancellation policy.

Data Privacy and Security

We take your privacy very seriously, and to comply with the European General Data Protection Regulation (GDPR) and other data protection consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating an account in our system.  You can view it here.

After creating your user account in our system, you can manage your information and protect your privacy and security via our Online Portal, which is now fully GDPR compliant.
